Proposal looks good to me.
A Couple of thoughts...
Perhaps change "we'll figure out what to do", to "we'll call for interest on the night..."
We probably need to think a bit harder about the book swapping business - where it fits in the 'new order' for meetings, and try and streamline it so it doesn't end up taking forever...
